How Induct For Work collects, uses, stores and protects personal information.

Information we collect

It is your choice whether to provide personal information to us. However, if required information is not provided, we may be unable to register you as a user or provide particular products or services.

Personal information may include:

  • Name, company and contact details
  • Billing and account information
  • User ID and account preferences
  • Device, IP address and session data

We may also collect information that does not readily identify an individual. This information may be used for technical administration, research and development, customer administration and service improvement.

How we use personal information

When personal information is provided directly, through a reseller or through another business partner, we use it only for legitimate business and service purposes.

We may use or disclose information:

  • to provide requested products and services;
  • in ways described in this policy or otherwise consented to;
  • in aggregated form where an individual cannot reasonably be identified;
  • where required by law or a valid legal process;
  • to auditors who have agreed to maintain confidentiality;
  • to enforce our terms and protect the rights, safety or property of Induct For Work, its users or others.

We do not sell or rent personal information to third parties.

Files and account setup

Files uploaded by you

We do not routinely inspect files uploaded by inductees or account holders. Files are processed by the platform to provide the service.

Technical assistance

If technical assistance is requested, authorised support staff may need to access the account. This access may reveal stored information required to investigate or resolve the request.

Assisted account setup

When we are asked to set up an account, authorised team members may review supplied induction content so it can be configured and uploaded. We do not copy or share that content with unrelated third parties.

Deletion requests

Before permanently deleting account files, we will take reasonable steps to verify the identity and authority of the person making the request.

Cookies and analytics

Cookies

Our website uses cookies to support essential functionality, account sessions and user preferences. Information stored in cookies may be linked with information held by our systems.

If cookies are disabled in your browser, some website or platform features may not function correctly.

Website analytics

We use website analytics to understand how visitors use our pages and to improve the user experience. Analytics may record visited pages, time spent on the website, referral sources and interactions with website content.

Sharing information

Service providers

When a paid subscription is purchased, relevant billing information may be provided to our payment provider so payment details can be checked and transactions processed.

Connected platforms

If an account is linked to a third-party platform, relevant information may be exchanged to provide the requested integration. Uploaded files are not sold or distributed to unrelated third parties.

Support access

Uploaded files may be visible to authorised support staff only where access is reasonably required to provide requested technical assistance.

Security and privacy responsibilities

Induct For Work applies technical and organisational safeguards intended to protect personal information and uploaded files against loss, misuse, unauthorised access, disclosure, alteration and destruction.

  • Encrypted transfers to and from the platform
  • Protected hosting and storage environments
  • Controlled access for authorised personnel
  • Staff procedures for handling information

Your responsibilities

Users should not share their user ID or password, should sign out when finished and should maintain appropriate device, browser and malware protection.

Testimonials

Where a person provides a testimonial for publication, we may publish it with the person's name in accordance with the consent provided. A testimonial may be updated or removed following an authorised request.

Visitors from the EEA

The legal basis for collecting and using personal information depends on the information involved and the circumstances in which it is collected.

We generally process information where consent has been provided, where processing is required to open or administer an account, where it is necessary to meet a legal obligation, or where legitimate interests are not overridden by applicable data-protection rights.

Information relating to children

Users must be at least 18 years old or have consent from a parent or legal guardian to use our websites and services. We do not knowingly collect personal information from people under 18 without appropriate authority.

Retention and your rights

We retain information while an account remains active or while there is an ongoing legal or business need, including applicable legal, tax and accounting requirements.

When information is no longer required, it will be deleted or anonymised. If immediate deletion is not possible, it will be securely stored and isolated from further processing until deletion becomes possible.
